Cancellation & Refund Policy

IMPORTANT NOTE

We know, that you—as a well-informed consumer—are reviewing the following information BEFORE booking your spot at any GIRLtime event. 

By visiting our event sites and participating in GIRLtime, attendees acknowledge and agree that they are subject to Grace In Season’s Privacy Policies and Terms of Use. Our PRIVACY POLICY details how we use and store your information.

NON-REFUNDABLE DEPOSITS 

In order to reserve your spot on an upcoming GIRLtime retreat, a non-refundable deposit is required. Please note that even if you have verbally expressed an interest in attending or signed up to receive information about an upcoming retreat, your space cannot be saved and is not confirmed until a deposit is received. 

By registering and making payment for, or towards a GIRLtime Retreat, all registered attendees agree to our TERMS & CONDITIONS.

PAYMENT PLANS

Payment plans for GIRLtime retreats are available, usually in 2-4 installments. However, all final payments must be received 1 month prior to the retreat. 

Any considerations for reservation requests made within one month of the scheduled retreat dates are at the sole discretion of Grace In Season and the GIRLtime team and may only apply to packages without airfare and will require payment in full at the time of registration. Reservation will also be subject to a $100 late processing fee. 

DELINQUENCIES  

Any payment more than 3 days past due the agreed upon payment plan date, will be automatically cancelled and your spot will sold. Should Grace In Season cancel the reservation due to a payment issue, the terms of this retreat cancellation and refund policy shall apply.  

CHARGEBACKS

All chargeback notifications received for a refund via your banking institution will be considered a cancellation. You will be responsible for covering any returned payment fees issued by your banking institution. All registration documentation will be provided to the banking institution as confirmation of payment application. 

CANCELLATIONS + REFUNDS

We understand that things happen. You may cancel your participation in a GIRLtime Retreat at any time, but please be aware of the following cancellation and refund policies:

• All deposits and payments are non-refundable. 
• If extenuating circumstances force you to cancel, please send an email to support@alwaysgirltime.com for a case-by-case consideration credit toward a future GIRLtime retreat. Please note no credit is considered effective until confirmed in writing by the Grace In Season and/or GIRLtime team.

REFUND RESTRICTIONS

Your GIRLtime retreat deposit is non-refundable, and we are unable to refund any payment amount for cancellations. It takes an extraordinary commitment on our part to bring a quality, one-of-a-kind, immersive experience to our attendees. From the moment you book, our team gets to work personalizing every detail for a curated experience. Our vendor(s)—resorts, retreat centers, private homes, airlines, caterers, retailers, etc.—require upfront commitments that we must adhere to. When we offer a GIRLtime Retreat package to you, we have to ensure, through good-faith payments, that you will attend. This is the only way we are able to provide the best experience for our beloved attendees. 

EVENT CANCELLATION

If a Grace In Season GIRLtime event must be cancelled in its entirety for any reason on our end, Grace In Season will notify all registered attendees via email and provide refund instructions at that time. Attendees will receive a refund for 100% of the fee they paid. Grace In Season and/or GIRLtime is not responsible for, nor will it reimburse any external expenses the attendee has incurred in the event of a cancelled GIRLtime event.

If Grace In Season postpones or reschedules a GIRLtime event for any reason and the attendee is unable or unwilling to attend on the rescheduled date, the attendee will receive a refund for 100% of the fee they paid.

Grace In Season and/or GIRLtime is not responsible for any loss or damage as a result of a substitution, alteration or cancellation, postponement or rescheduling of GIRLtime. Grace In Season will not assume any liability whatsoever in the event a GIRLtime Retreat or Conference  is cancelled, rescheduled, or postponed due to a fortuitous event, act of God, unforeseen occurrence or any other event that renders performance of GIRLtime impracticable, illegal or impossible. For purposes of this clause, a fortuitous event shall include, but not be limited to: war, fire, labor strike, extreme weather, or other emergency.

Please note that while speakers and topics were confirmed at the time of publishing, circumstances beyond the control of Grace In Season and/or GIRLtime may necessitate substitutions, alterations or cancellations of the speakers and/or topics. As such, Grace In Season reserves the right to alter or modify the advertised speakers and/or topics if necessary, without any liability to the attendees whatsoever. Any substitutions or alterations will be updated via email to the registered attendees as soon as possible.

YOUR ALL-INCLUSIVE EXPERIENCE

We will make every effort to accommodate your requests and preferences for our all-inclusive GIRLtime Retreats. Any travel expenses outside of the agreed upon inclusions, will be at your own cost. Grace In Season and GIRLtime will not be held liable for any consequences arising from delays or cancellations in any of the companies we may have made arrangements with (on your behalf), or for any irregularities in your documentation required for travel.

CONDUCT EXPECTATIONS

We know that none of the amazing women who attend our GIRLtime retreats will ever do any of this, but it’s called a “disclaimer” lol, so we have to let you know that…

Grace In Season requires all attendees to be professional and respectful to our staff, location hosts, speakers, teachers, and the other women throughout the GIRLtime Retreat, even during non-scheduled downtime and breaks. Grace In Season reserves the right to ask any attendee to leave the area where sessions are being held should they be deemed rude, uncooperative, unprofessional, intoxicated, or in possession of any illegal substance. In such case, the attendee’s registration costs will not be reimbursed under any circumstance, and they may not receive any future products, services, or correspondence from Grace In Season. 

POLICY CHANGES

We may change our Cancellation & Refund Policy from time-to-time. We encourage you to refer to this Cancellation & Refund Policy on an ongoing basis.
